Most UAE finance teams meet the tax invoice rules on a bad afternoon. An auditor asks for the document behind a recovered input VAT amount, and the folder holds a delivery note and a proforma. The rules are short. They are unforgiving about which fields sit on the page, and a supplier who drops one has turned your recoverable tax into a cost.

Every field a valid tax invoice has to show

As of 2026 the Federal Tax Authority requires these fields on a full tax invoice. The simplified form, allowed where the buyer is not VAT-registered or the value does not exceed AED 10,000, drops most of them.

Two rows cause most of the damage. A supplier who prints their own TRN but not yours hands you a document that fails inspection, and nobody notices for a year because the total looks right. The other is the date pair: goods leaving a Jebel Ali warehouse on 29 March and invoiced on 2 April sit in the March period.

The invoice is due within 14 days of the date of supply, and the VAT line should be 5% of the net after rounding to the fils. A gap of whole dirhams usually means the discount was applied after tax instead of before, which is the supplier's error to fix. The practical consequence is one row: a simplified invoice does not carry your TRN. Fine for petty cash, wrong for a recurring supplier. A supermarket or petrol-station receipt qualifies only if it shows the words Tax Invoice and the supplier's TRN, and plenty do not. Most teams then get the policy call backwards. Set a value floor in the expense policy and stop chasing VAT below it: recovering a few dirhams from a taxi receipt costs more in finance-team minutes than it returns. Thresholds change, so check tax.gov.ae before writing this into policy.

The TRN decides whether you recover anything

A UAE TRN is 15 digits, and the Federal Tax Authority runs a public verification service that returns the registered legal name behind a number. Use it when you open a supplier file, and again when an invoice arrives under an unfamiliar name.

The failure is almost never a fabricated number. It is a mismatch. A vendor trades under a brand, invoices through a group entity, and quotes a TRN belonging to a third company in the family. That can be legitimate, because related UAE companies may register as a single tax group under one TRN. Ask which it is, in writing, before the second order.

Your own name matters as much. It must match your VAT registration exactly, down to the L.L.C., the branch designation and the trade licence spelling. Free zone entities in DMCC and JAFZA carry long registered names, and a supplier who trims yours to fit a template has produced a document naming someone else.

Recovery also turns on something unrelated to layout: you must have paid, or intend to pay, within six months of the agreed payment date. That bites anyone on long terms with a disputed line in the middle, and it does not arise on cash-on-delivery B2B orders. Collect the VAT certificate when you open the supplier file, not in December, and vetting a UAE supplier before the first order covers the rest of that folder.

Currency, language, and the three treatments people mix up

The VAT amount and gross total must be expressed in AED. Where the price was agreed in dollars or euros, conversion uses the exchange rate published by the UAE Central Bank for the date of supply, not the rate your bank gave you on settlement day.

The FTA can require records to be produced in Arabic, so a bilingual invoice is the safer document to hold. English-only invoices are normal practice and are accepted, but a translation can be asked for in a review, which is why CoHub issues bilingual documents.

Three treatments produce three different lines.

  • Standard-rated at 5%. Most business supply: paper, IT hardware, cleaning chemicals, furniture, pantry stock. VAT is charged and stays recoverable where the purchase serves a taxable activity.
  • Zero-rated at 0%. Exports outside the implementing states, international transport, and certain healthcare, education and precious metals supplies. The supply still appears in your return and input VAT stays recoverable.
  • Exempt. Certain financial services, bare land, local passenger transport, residential property after the first supply. No VAT line, and input VAT attributable to it is not recoverable.

A supplier who writes "VAT: N/A" has told you nothing. Ask in writing whether the line is zero-rated, exempt, out of scope, or subject to the reverse charge. A foreign software invoice with no VAT on it is not a saving, it is a self-assessment you have not done yet.

Free zone status is the other reliable source of confusion. Not every free zone is a designated zone for VAT, and even inside one, goods a company consumes itself are treated as supplied in the UAE, as services always are. A JAFZA company buying copier paper for its own office pays 5%.

Credit notes, short deliveries and corrections that go wrong

When a supply is reduced or cancelled after the tax invoice has been issued, whether by a short delivery, a crushed carton or a returned printer, the instrument is a tax credit note. Not an amended invoice. Not a reissue under the same number.

A tax credit note shows the words Tax Credit Note, the supplier's details and TRN, your details, the issue date, the original and corrected values, the VAT on the difference, and a reference to the original invoice number. A credit note issued in a later tax period adjusts that period, not the month you closed.

Most credit notes start as a pack-size misunderstanding rather than a dispute. Five ordered, five reams expected, five boxes of five reams arriving at a Business Bay reception with nowhere to put them. Filing that survives an FTA review

Keep tax records for at least five years from the end of the tax period they relate to, with longer retention for capital assets and real estate records. Electronic storage is acceptable where records stay retrievable and legible on request: a folder of unsearchable phone photos is compliant on paper and useless in a review.

Build the three-way match into the filing. Proforma or purchase order, signed delivery note and tax invoice, stored as one record under one order number.
